PROJECT UPLOAD GUIDE

1. Prepare Your Project Folder

Every project begins with a properly organised folder. This helps keep the editing workflow efficient and prevents delays.

Create one main folder labelled:

PROJECT TITLE – YOUR NAME – DATE

Example:
ProductLaunchVideo – Jamie L – 03_02_26

Inside it, include these subfolders:
    •    01 – Footage (Video clips)
    •    02 – Photos
    •    03 – Audio (Music, VO, SFX)
    •    04 – Notes (Ideas, scripts, reference videos, directions)
    •    05 – Assets (Logos, fonts, overlays, graphics)

This structure avoids chaos and ensures the edit starts strong.

 

2. Name Your Files Clearly

Clarity saves time. Clean file names speed up workflow and reduce the chance of mistakes.

Examples of ideal naming:
• Clip01_IntroShot.mp4
• Audio_VO_Take2.wav
• Photo05_EventGroup.jpg

Avoid:
• IMG_992884.mov
• final_final_reallyfinal_v3.mp4

A well-labelled project equals a smoother edit.

3. Upload to Google Drive

Google Drive keeps everything consistent.

Steps:
    1.    Go to Google Drive
    2.    Select New → Folder Upload
    3.    Upload your main organised folder
    4.    Make sure ALL files are fully uploaded
    5.    Right-click → Share
    6.    Choose “Anyone with the link” or add my email directly
    7.    Copy and save the link

This gives me immediate access without delays.

4. Email Submission

Each project must be submitted via email.

Email subject:
PROJECT SUBMISSION – [Your Name] – [Tier]

Example:
PROJECT SUBMISSION – Tara M – Premium Edit

Your email must include:
• Your name
• The editing tier you selected
• The Google Drive link
• A short summary of direction or mood
• Any notes you want considered
• Confirmation that footage is organised correctly
• Dates/deadlines (if applicable)

This standardised approach ensures nothing gets lost.

5. Double-Check Before Sending

Make sure:
✓ All clips play correctly
✓ No corrupted files
✓ You stayed within your package limits
✓ The folder is organised exactly as shown
✓ The Drive link works
✓ You’ve included all relevant instructions

This avoids unnecessary back-and-forth.

 

6. Delivery Time

Turnaround time for the first draft begins after:
    1.    All files are handed in
    2.    The project folder is fully organised
    3.    The email submission is complete

If something is missing or unorganised, the project will pause until corrected — this applies to all tiers.

7. Additional Notes
    •    For music, you must own rights or use royalty-free tracks.
    •    For green screen, ensure clean lighting to avoid keying issues.
    •    For films, asset delivery must be complete before deadlines are calculated.
